How to book serviced apartments for staff: a checklist
Booking an apartment for a colleague is different from booking a hotel room. Use this checklist so they arrive to the right place, at the right time, with nothing missing.
Before you book
- Dates, including whether they might extend
- Office or site address, and how they will travel
- Whether they need parking
- Any accessibility needs
- Your budget per night, and whether it includes VAT
Questions to ask the provider
- How does check-in work, and what happens if the flight is late?
- Is the WiFi good enough for video calls?
- How often is the apartment cleaned, and is linen changed?
- What is the cancellation and extension policy?
- Can you invoice the company directly, with a purchase order?
Before they travel
- Send the address, check-in instructions and a contact number
- Confirm the invoice details with your finance team
- Put the end date in your calendar so an extension is agreed in time
